Location: Food & Wine Trails, Santa Rosa, CA.

Position Summary: This position is responsible for assisting the Group Department in fulfilling the day-to-day operations for winery groups, including ad-hoc projects.  Duties include updating program booking reports, monitoring Client Base inventory, performing individual program audits, updating weekly meeting notes, proofing and assembling final documents, and supplier payments.

  • Update program booking reports and waitlists, ClientBase inventory, and perform program audits
  • Input program timeline dates in Outlook for program specialists
  • Proof, assemble and distribute documents including final documents
  • Participate in weekly meetings and update sales reports and figures
  • Generate query reports from ClientBase for distribution to clients, as applicable, regrading demographics, contact information and previous trips
  • Prepare and submit payment requests via the intranet
  • Assemble program finalization packet and survey results for sales deparment
  • Assist with the completion of ad-hoc projects
  • Communicate and escalate relevant information to appropriate individuals (i.e. managers, co-workers, etc.) in a timely manner and through appropriate channels
  • Perform other duties as assigned


Education: High School Graduate or General Education Degree (GED): Required
                 Associate's Degree (two year college or technical school) or work equivalent,
                 Field of Study: Hospitality Management or equivalent

Experience: One plus year experience in a planning and organization type role.
                  Group or event planning is preferred.  Previous Cruise industry knowledge
                  is a plus.

Computer Skills:  Basic working knowledge of (MS office Products, World and Excel). 
                   Knowledge of a customer profile maintenance product is preferred
                   (ClientBase is a plus).  General knowledge of Adobe products is a plus.

This position provides travel arrangement services for various client, often luxury and complex group and/or international travelers.  Responsibilities include planning and selling by determining destination, modes of transportation, travel dates, costs, and accommodations, while focusing on driving sales toward preferred vendors.

  • Secure new client sales and retention through exceptional customer services by building relationships with clients and getting referrals for future business through various methods, such as special events, networking, marketing, etc.
  • Respond timely to client's questions, concerns and billing inquiries; research and solve questions and issues; research and resolve client issues.
  • Utilize strong consultative selling techniques and the ability to listen to customer's needs to close sales and cross-sell additional products and services while driving towards Adelman preferred vendors and suppliers.
  • Provide assistance and guidance to clients with reservations, transfers, changes, cancellations, etc. by conversing with the customer to determine destination, mode of transportation, travel dates, financial considerations, and accommodations required; provide client with the best available travel deals.
  • Ensure all reservations are reviewed with the traveler and thoroughly documented prior to invoicing; collect maintain client payment and balances due for transportation and accommodations from customer; invoice reservations according to company policy.
  • Build, maintain, and update client profile including marketing preferences with CRM.
  • Impart international travel information to travelers, such as passport, visa, inoculation requirements, customs regulations, and currency exchange rates.
  • Maintain appropriate and positive client relationships with internal/external customers and vendors; build trust in others by exhibiting professionalism and confidentiality; represent the organization professionally and positively when attending various industry events.
  • Stay current with industry events and changes utilizing various methods (i.e. traveling to supplier sponsored events.
  • Communicate and escalate relevant information to appropriate invidivuals (i.e. managers, co-workers, etc.) in a timely manner and through appropriate channels.
  • Other duties as assigned

Education: High School Graduate or General Education Degree (GED): Required
                 Successful completion of travel certificate: or work equivalent

Experience: 5 plus years of experience in selling vacation travel

Computer Skills: Basic knowledge and experience using travel industry GDS and booking
                  sites.  Solid working knowledge of MS Office.  Working knowledge of a 
                  Computer profile maintenance product (i.e. ClientBase). Social media 

Certifications & Licenses: Certified Travel Agent preferred
